Are they clear?<br />-Do we have to spend more than a minute trying to analyze the data ourselves?<br /><br /><span style="font-weight: bold;">Important points:</span><br />1. For posters, the <span style="font-style: italic;">graphics</span> will draw us in first, and the text is secondary.<br />2. Use <span style="font-style: italic;">font</span> to your advantage.<br />3. Be <span style="font-style: italic;">short and sweet </span>with the results, focus on the recommendations.<br />4. When possible, try to represent your point <span style="font-style: italic;">visually</span>.<br />5. Is your poster <span style="font-style: italic;">sexy</span>? This may be addressed in the context, significance and scope.<br />How do objectives and rationale differ? Objective is “what” and rationale is “why.”<br />Cuyama Group Project Intro – Discussion/analysis<br />As a group we found the Intro too short and didn’t address the problem statement sufficiently. There is plenty of background and context, but not a lot of rationale, methods or objectives.<br />Need to be aware of tense – any tense can be used, but it needs to be consistent.<br />“It is anticipated” – don’t use! It’s ok to use “we,” and it is commonly accepted to use “we”.<br />The Zurich Project <br />The report’s entire first chapter addresses all the parts of the introduction with subheadings, making the structure very clear. <br />Cuyama Brief<br />The intro was better, but there was still no clear problem statement.<br />Fisheries Brief<br />Very clear problem statement. But the spacing was distracting. The sentence structure consists of long lists. The language is too technical, too many buzz words. We are not sure who the audience is supposed to be - it seems like it should be a lay audience.<br />“distancing yourself from a claim” – tends to happen when you’re not certain of the claim you’re making, or if you have the authority to make that claim. It results in a lack of clarity.<br />Short sentences can be really powerful, and sentence variation is important.<br />Also, the intro doesn’t seem to address all the issues up front, more detailed reading is required.<br /><br />GP Presentation<br />One way to structure our presentations for both audiences (the defense ande public presentation) is to ask a question.<br />How can we make fishery management better?<br />Why are fisheries failing?<br />(Cuyama) – How does human land use impact connectivity and conservation?<br /><br />EDF’s Fisheries Brief<br />Intro paragraph – includes numbers and stats. This is not objective, it’s presenting an opinion, but once you have your data you can take a stance. It answers: who, what, when where how why more or less. No specific problem statement, but we know what the problem is.<br /><br />WRITING CONCLUSIONS<br />Conclusions are really important because often it’s all people read.<br />What does the reader look for?<br />- The point<br />- Results<br />- Significance/implications – this often gets left out! (so what? And make it sexy!)<br />- Recommendations<br />- Call to action<br />- Future direction/further research<br />- Address the “promises you made” in the intro (e.g. how to fix a problem)<br /><br />NB – don’t bring up new ideas that you haven’t addressed throughout the paper<br />Cuyama conclusion<br />We found the bold, bulleted points to be an ineffective way of communicating their results<br />The term “general statements” doesn’t demonstrate confidence<br />A brief intro to the conclusion would be appropriate.<br />The 4 general statements they found were an accomplishment, but their framing of the points could be stronger. This includes a wide range of possible interactions, from interpersonal communication to virtual communities, participatory decision making, and environmental media coverage. Environmental communication as an academic field emerged from interdisciplinary work involving communication, environmental studies, environmental science, risk analysis and management, sociology, and political ecology. </span><br /><br />Today we looked at examples of REPORTS.<br /><span style="font-weight: bold;"><br />The primary goal</span> of a report is to <span style="font-weight: bold;">inform</span>. It is a synthesis and <span style="font-weight: bold;">summary of complex issues</span> to be read by an audience (large or small, broad or narrow) with potentially different backgrounds. Reports can <span style="font-weight: bold;">advocate a desired action</span>, as well as <span style="font-weight: bold;">report findings</span>; they can be used for outreach campaigns, to get funding, or as a press release.<br /><br /> <span style="font-weight: bold;">Audiences</span> can include: general public, experts, stakeholders, the press, internal workers, or subordinates.<br /><br /> When looking at reports, we first considered the <span style="font-weight: bold;">general layout</span>.<br />How is the information presented? Are there pictures, side bars, boxes, maps, a highlighted message statement?<br /><br /> Next, we used the introduction (or first paragraph) to determine the intended <span style="font-weight: bold;">audience, main message, effectiveness, the call to actions</span>.<br /><br />A. <span style="font-weight: bold;">General assumptions</span>: If there are numbers or statistics, the intended audience may be scientists, or people who are somewhat more technical. The report (or press release example we looked at) may have an emotional appeal, intended for the general public to get them hooked and engaged.<br /><br />Press releases:<br />-get right to the point (front load message early in the document)<br />-immediately let you know what the focus is<br />-captures the audience with emotional appeal<br />-sometimes a call for action<br /><br />B. <span style="font-weight: bold;">Sidebars</span> or boxes are used to summarize information, or to include information that did not fit into the text but is important.<br /><br />C. <span style="font-weight: bold;">Framing</span>: say what you are going to tell your audience, tell them, and then tell them what you told them<br /><br />D. <span style="font-weight: bold;">ABC</span>: Always Be Closing: always have a purpose for writing!<br /><br />E. When presenting information, you want to make it <span style="font-weight: bold;">exciting and interesting</span>. If the audience is mixed, you want a presentation that they can absorb and invest in. It is crucial to <span style="font-weight: bold;">make complex content more interesting</span>.<br /><br />F. Many times reports answer the following questions: What is the main consequence? If nothing were done, what would be the outcome? What's the worst possible scenario?<br /><br />G. However, it is necessary to carefully frame sport(s) involvement to make it relevant to job posting. Could potentially give you an edge.</li><li>Account for at least the last five years of employment/volunteering- it is not necessary to account for a gap in employment if it was over five years ago.</li><li>Use verbs such as led, directed, managed, etc. when summarizing your role at previous job.</li><li>Emphasis constantly should be changing to fit job applications</li><li>Under the skills and interest section do not list office suite and ability to use browsers as skills- instead list specific computer programs (relevant to job posting). Use words such as: advanced skills, expertise, advance proficiency, familiar with, etc. to notify employer of your skills.<br /></li></ul>Activity: After resume examination the class spent approx.10 minutes to review a class mates resume.<br /><br /><span style="font-weight: bold;">Cover letters</span><br /><br />Activity: Cover letter from former Bren student was used as an example on how exemplary cover letters should read.<br /><br />Important information learned from examining the cover letter:<ul><li>All good cover letters should have strong opening sentences.</li><li>Highlight within cover letter one’s graduate work, strong leadership skills, strong writing skills (i.e. proposals that were granted funding), professional experience, and team member qualities.</li><li>Keep consistency throughout cover letter (i.e. formatting, etc.)</li><li>It is not recommended to use strong language such as “If you agree I am a strong candidate…” as it might come across to employer as The random nature of this exercise challenges the writer to creatively and spontaneously write a story. The point is not to write a masterpiece. Therefore, do not worry about the quality of your writing. This is a time for experimentation and the exploration of your creativity and writing ability. Although this writing exercise is a creative writing technique (e.g. novels, poetry, playwrighting), it can be beneficial for developing any writing style.<br /><br />I learned this technique from award winning playwright and author, Luis Alfaro. He claims he practices this simple exercise for at least ten minutes every morning.<br /><br /><span style="font-style: italic;">Random Bowls</span><br /><br />1. Designate three bowls or another type of container as "subject", "action/activity/event", and "goal/purpose" respectively.<br /><br />2. Write a word or sentence fragment on a small piece of paper. Or, you can cut them out of newspapers and magazines.<br /><br />3. Repeat the above step using different words or sentence fragments until you have at least several pieces of paper.<br /><br />4. Place these pieces of paper in the three bowls.<br /><br />5. Sit down ready to write.<br /><br />6. Work with your group to determine what you want to say, but not how you want to say it.<br /><br />2. Fancy words don’t matter when presenting, people tend to hear whatever you say in their own words anyway—fancy words are for writing, not speaking.<br /><br />3. After you know what you want to say generally, write a script.<br /><br />4. Memorize that script pretty well, but don’t worry about slipping up on one to words—you’re going to try and forget that script soon anyway. Consider different approaches to memorization: speaking out loud, typing, writing by hand, and mentally reviewing.<br /><br />5. At least once, go through the script by memory and hand draw all the slides; make bullet points of what you are suppose to say on each slide—bullets should include hard facts that you have to say, but not full sentences.<br /><br />6. Start practicing the script intentionally phrasing in different ways—or better stated, practice without trying to determine whether or not you are saying it exactly as the script was written.<br /><br />7. Work with a person one-on-one who will give you critical advice about what isn’t working.<br /><br />8. Practice for critical points (facts). Speeches become obviously memorized when you are mentally searching for a specific word rather than a concept.<br /><br />9. Get to know the information thoroughly, then relax a little.<br /><br />10. Don’t act, most of us are bad at acting and it shows. Don’t try to “present”, try to explain (e.g., one client at the GP defense remarked “I didn’t know I was going to a play”).<br /><br />11. Practice a lot. Practice with different people—it’s hard to get excited or sound interesting when you are talking to people who know exactly what you are going to say.<br /><br />12. Be yourself on stage, if you like hand movements, use them, if you like walking on stage do so, consider other people’s advice on the best style, but be confident that the audience actually wants to see you as a person—they aren’t as interested in seeing you try to be someone else.<br /><br />13. In addition to her experience writing briefs as a PhD candidate, Sara is also a fellow in the Luce Fellows Program here at UCSB.<br /><br />Sara described a brief as a straightforward document that is accessible to policymakers in a way that relays the information concisely, clearly, and supports their ability to make decisions. A main theme that was central to our discussion about briefs is the advice that Professor Anderson provided about writing a brief - keep it short.<br /><br />Sara began with tips on when to use a brief:<br />- asked directly by a policymaker or organization that knows your research will contribute to their position or can help them make a decision about their position.<br />- foster clarity among interdisciplinary groups. A brief can be a quick way to let others know what your research is about and how it applies to the working group.<br /><br />Next Sara discussed the various purposes of writing a brief:<br />- a brief can be used to summarize a complex science issue for policymakers - they want to get the expert's advice on an issue or learn about the latest results.<br />- use a brief to advocate for a policy option or political action that should be taken.<br />- summarize complex policy issues for scientists (not always the other way around!)<br />- don't forget - valuable purpose to a brief is to inform<br /><br />We spent some time discussing audience, a central theme to our class. A brief may be written for the policymaker and his/her aids/staff, and their main goal is to keep their constituents happy. A different audience is managers who are charged with meeting targets/mandates and may use a brief as a support for a resource management decision or as a press release. It is important to remember that one brief may not fit all audiences, but it may be as simple as rearranging the order of the brief depending on the audience's needs.<br /><br />Next we discussed the main elements of a brief and focused on the key findings. It is important to put these upfront to let the audience know what is the point of the brief, and then follow with the implications of these key findings. Then if action is warranted or other there is now a problem as a result, then setting the stage for policy change or new actions to be taken can be a solid way to finish the brief. It is also valuable to point out that everything is in working order.<br />The application of the brief, such as the mechanims to be used to address this issue or to call out who can use this information are also valuable elements of the brief.<br /><br />It is always a good idea to consider interest groups and how they are likely to respond to this brief. How will each group be affected and how can I help my audience strategize to handling the counterargument are very helpful questions to try to answer while composing the brief.<br /><br />Sara's valuable tips:<br /><ul><li>make the goal of the brief explicit and early</li><li>provide a summary of major points in a box, bullets, set aside in some fashion</li><li>use graphics as much as possible to illustrate points</li><li>be specific and direct, not academic, be cognizant of language - don't use language to try to cover up lack of knowledge - does NOT work</li><li>stay true to needs and interests of your audience</li><li>**strike a balance between professional, effective and informed to conclude brief - need to have a strong finishing statement that ends with something definitive</li></ul><p>We also spent some time critiquing and example brief, which is posted to our class gauchospace. Below is a summary of the major points that were covered in class.<br /><br /><strong>Reports in General</strong><br />Reports are generally not intended to summarize (They are often 200+ pages long).<br /><br />Some things common to reports that were posted by class members in our forum were the use of visuals such as charts or maps or graphs, inclusion of some sort of introduction, use of headings to organize the document (the headings were more descriptive than those in journal articles). The language in these reports differed depending on the audience (some were more technical and some less so) but most tended to be less dense than Journal articles.<br /><br /><strong>Presentation by Kate on Writing Professional Reports</strong><br />1.Kate is presenting from a consulting perspective and the main thing she noticed in her work was that writing is a very collaborative process (“there is always another set of eyes on your writing”)<br />a.Her main audiences were regulatory agencies and corporate clients<br />b.The audience dictated both what sections were included in the document and what type of language was used.<br /><br /><em>2.Organization</em><br />a.Clients probably read executive summary, results, and conclusions so they should be well written and easy to find<br />b.Tables of contents are good for directing the reader to the location on specific sections of the report and to show the reader you understand and can provide what they need<br />c.Figures and tables can be listed separately below the table of contents<br /><br /><em>3.Length</em><br />a.Kate’s reports were no longer than 20p. but often you will need to write longer reports<br />b.It is helpful to look at other reports written by your company to get an idea of general length<br /><br /><em>4.Style</em><br />a.This will be specific to your employer and audience. For example, in Kate’s report they used the term “element” instead of chapter or issue to describe different sections of the report.<br />b.To get a feel for your company’s style read similar company documents<br />c.Make sure to write clearly and concisely as opposed to using a lot of big GRE type words<br /><br /><em>5.Challenges</em><br />a.You may need to write about unfamiliar topics or about something beyond your comfort zone. To help you do this you can ask questions to your co-workers or superiors to get more definition or clarification. You can also do background research/reading on the topic.<br /><br /><em>6.Take away points</em><br />a.Writing is a collaborative effort so try not to get offended by feedback from others or offend others with your feedback<br />b.Word choice is key so try to be clear and concise<br />c.Unfamiliar projects will come up so be ready and know how to address it<br /><br /><strong>Purpose and Audience Need</strong><br />1.The report posted by Kelli on Ecosystem Service Markets is a good example of a well stated purpose. Not only was the purpose clearly stated but the report also defines terms and then gives categorized examples in a manner that is very well organized. This prevents the reader from having to organize the information themselves.<br />a.When you read a report you should always ask “what is the purpose of the report?”<br />b.In terms of intro organization a good method is to state your purpose then the categories you will address and finally the assumptions guiding the information.<br /><br />2.Another good example of organization is the paper on food that Bridget posted.<br /><br />3.In the introduction of the paper that Christina posted the authors explain the purpose, the need the report is filling, and then who produced it. Conversely in the introduction to the report posted by Kelli they present a problem statement and present a solution. The audience for Christina’s report is more technical (denoted by the use of acronyms and technical language) while the audience for Kelli’s is more the general public. This can also be seen in how the intro to Christina’s paper is short and to the point because people who read these reports don’t need to be eased into the topic like a general public audience would be.<br /><br />4.Another good example of a paper is the paper Tessa submitted which actually has a heading titled “purpose.”<br />a.This paper also has good visuals such as maps and is a little different because it has references which indicate it is more directed towards a research community.<br /><br />5.The report that Lucas posted did not have great visuals because they did not place the pictures well and because everyone seems to be leaving the community in the pictures. Also the context map is pixilated, does not have a good scale bar, and the north arrow is not well placed.<br />a.In the report that Tessa posted the graphics are a lot stronger but there is a lack of color coordination and the one graphic of patches is just ugly and doesn’t go with the rest of the report.<br /><br />6.The report that Lara posted is obviously professionally laid out. It has a lot of color and gradient shading and very high quality pictures. The pictures are not labeled because they are just included to provide readers with nice visuals and also because picture labels can sometimes be intimidating to the general public.<br /><br /><strong>Report Analysis Activity</strong><br />In this activity we reviewed the reports posted to the class forum by class members and picked one to analyze in detail.
